Terms of Service
1. The service
Campus Shield AI is an education and campus management platform. Depending on the institution and your assigned role, it may support rosters, attendance, notices, leave, incidents and remarks, fees, reports, timetables, transport routes, live trip information, boarding records, and institution communications. Features available to you depend on your institution, role, device permissions, and service configuration.
2. Accounts and access
- Institution administrators create and manage teacher, student, parent or guardian, and driver accounts. There is no public student sign-up.
- You must provide accurate information, keep credentials confidential, use only your own account, and promptly report suspected unauthorized access.
- You may access only the institutions, people, records, and functions authorized for your role. You must not attempt to bypass access controls or use another person’s credentials.
- Where a student is a child, the institution is responsible for obtaining any authorization required before creating the account or entering the student’s data.
3. Institution responsibilities
Each institution controls the records it enters and is responsible for lawful collection and use, obtaining required permissions, assigning appropriate roles, maintaining accurate rosters and contact details, responding to user requests, and correcting or deleting records it manages. The institution must ensure its staff use the service only for legitimate educational, safety, transport, and administrative purposes.
4. Acceptable use
You must not misuse the service, violate law or another person’s rights, upload unlawful or harmful content, harass users, impersonate another person, probe or disrupt security, introduce malware, scrape or bulk-extract records, reverse engineer protected parts of the service except where law expressly permits, or use information obtained through Campus Shield AI for advertising, profiling, discrimination, or an unrelated purpose.
5. Attendance, transport, and safety information
Attendance, boarding, route, and live trip information is entered or generated by institutions, staff, drivers, and devices. It may be delayed, incomplete, inaccurate, or temporarily unavailable because of connectivity, permissions, device conditions, or human error. Institutions should verify important records and maintain appropriate operational procedures. Campus Shield AI is not an emergency service and must not be the sole means used for urgent safety decisions or emergency communication.
6. Communications
The service may deliver institution notices and operational messages through in-app notifications, push notifications, email, or WhatsApp where the institution has recorded the required contact information and consent. Delivery is not guaranteed. Users may change device notification permissions, and WhatsApp consent can be withdrawn through the institution administrator as described in the Privacy Policy.
7. Privacy
Our Privacy Policy explains what information is processed, why it is used, who can access it, retention, security, children’s data, and user rights. The institution is the data controller for its student and institutional records; Campus Shield AI processes those records on the institution’s instructions.
8. Service availability and changes
We work to keep the service available and secure, but uninterrupted or error-free operation is not guaranteed. Maintenance, upgrades, network failures, third-party service disruption, security response, or events outside reasonable control may affect access. Features may be corrected, changed, suspended, or discontinued where necessary, including to protect users, comply with law, or maintain the service.
9. Intellectual property
Campus Shield AI, its software, interface, branding, and original materials are protected by applicable intellectual-property laws. These terms give you a limited, non-exclusive, non-transferable right to use the service for its intended institutional purpose; they do not transfer ownership. Institutions and users retain responsibility for content and records they provide and grant the permissions needed to process them to operate the service.
10. Suspension, termination, and deletion
An institution may disable or delete managed accounts. Access may also be limited or suspended when reasonably necessary to address misuse, security risk, legal requirements, non-payment where applicable, or violation of these terms. Institution administrators can delete an institution account from Settings → Account → Delete Institution Account after confirmation. Other users can request account deletion in the app or through the public Data Deletion Instructions. Deletion and retention follow the Privacy Policy.
11. Disclaimers and liability
To the extent permitted by applicable law, the service is provided on an “as available” basis without warranties that it will always be uninterrupted, error-free, or suitable for every institution’s requirements. Campus Shield AI does not control the accuracy of information entered by institutions or users. Nothing in these terms excludes rights or liability that cannot lawfully be excluded. To the extent permitted by law, Campus Shield AI is not liable for indirect, incidental, special, consequential, or punitive loss arising from use of or inability to use the service.
12. Changes to these terms
These terms may be updated when the service, law, or operating practices change. The effective date above will be revised when that happens. Continued use after updated terms take effect constitutes acceptance where permitted by law.
